Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
Duties Description The incumbent of this position will perform all administrative tasks for the Offices of Legal Affairs and its bureaus. Duties will include, but not limited to, the following:
• Open, review, sort and distribute incoming correspondence ensuring that appropriate back-up files/materials are attached; request additional material from the correspondent if needed; monitor and track correspondence; maintain follow-up system.
• Be proficient in the use of the various computer programs, including such programs as Microsoft Office, Access, and Microsoft Word and Excel.
• File documents. Periodically purge obsolete material from the Division files and send to record center or dispose of said files.
• Arrange for and coordinate meetings and conference calls.
• Make travel arrangements when needed. Prepare the appropriate travel forms and vouchers.
• Answer and screen telephone calls and visitors.
• Draft, type, edit, format and mail correspondence.
• Proofread outgoing correspondence for grammar/punctuation errors.
• Copy, scan and fax documents.
• Resolve day-to-day operational problems.
• Update law books promptly.
• Provide support to the Office of Proceedings.
• Process FOIL checks.
• Coordinate archiving of files and retrieving such files as needed.
• Handle invoice payments, purchasing books and purchase orders.
