Minimum Qualifications Permanent: Permanent service in this title, or one year of permanent competitive or 55 b/c service as a SG-9 or higher and otherwise eligible for transfer under Civil Service Law, or reachable on the Civil Service eligible list for this title.
Provisional: 1 year of permanent competitive or 55b/c service as an Office Assistant 1 (Keyboarding), Office Assistant 1 (Keyboarding Spanish Language), Office Assistant 2 (Keyboarding), Office Assistant 2 (Keyboarding Spanish Language), Law Department Document Specialist Trainee 1, Law Department Specialist Trainee 2, or Law Department Document Specialist.
Preferred Qualifications: Ability to prepare letter merges using data systems and Word documents; proficiency in Microsoft Office, particularly developing and using Excel spreadsheets; knowledgeable with PowerPoint; excellent organizational and time-management skills; and the ability to manage multiple tasks simultaneously.
Duties Description This is an administrative position which supports the day to day operations of the Office of Probation and Correctional Alternatives’ Adult and Juvenile Operations Units as well as the duties of the Contract Management Specialist 3. This position may be asked to assist the Interstate Compact and Training Units as needed. Duties for the Secretary 1 position will include, but are not limited to: scheduling meetings; preparing reports and general correspondence; coordinating, screening and routing phone calls for professional staff; coordinating staff travel, including processing of travel vouchers; distributing incoming mail, including e-mails; creating and maintaining electronic and hard copy office files; preparing and proofreading correspondence, memos, reports, and other documents; initiating purchase orders; entering documents for Internal Review; preparing attachments A and B for travel authorizations; developing contracts; ordering supplies and maintaining inventory; and providing general secretarial support and back-up secretarial support to all of OPCA as needed.
