Minimum Qualifications Permanent: Permanent service in this title, or one year of permanent competitive or 55 b/c service as a SG-9 or higher and otherwise eligible for transfer under Civil Service Law, or reachable on the Civil Service eligible list for this title.
Provisional: 1 year of permanent competitive or 55b/c service as an Office Assistant 1 (Keyboarding), Office Assistant 1 (Keyboarding Spanish Language), Office Assistant 2 (Keyboarding), Office Assistant 2 (Keyboarding Spanish Language), Law Department Document Specialist Trainee 1, Law Department Specialist Trainee 2, or Law Department Document Specialist.
Duties Description The Secretary 1 will provide support for the Administrative Unit within OPDF. The Secretary 1’s duties will include, but will not be limited to, processing and maintaining records, and ensuring that contract documents are correctly entered into OPDF’s contract database system; preparing documents and presentations using the Microsoft Office suite; maintaining annual contract records for approximately 450 Federal and State funded contracts handled by the unit; assisting contract program representatives in providing technical assistance and correspondence to grantees, producing and distributing contracts, award letters and other documents to contract management staff as needed; utilizing Oracle Financial system to prepare purchase requisitions; and acting as the OPDF procurement liaison.
In addition, the Secretary 1 will manage and oversee the Grants Management System (GMS) funding email box and answer GMS related questions by providing technical assistance via telephone and email, and will provide backup to other support staff within OPDF including telephone support for the Deputy Commissioner.
