Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for reassignment or transfer in accordance with Civil Service Law.
Duties Description Duties of the Agency Program Aide include performing paraprofessional duties and provide program and technical assistance for one or more professional or technical positions, as well as but not limited to the following:
• Develop, distribute and track State/Local agreements for all Regional Local funding programs including: Federal/Local, Enhancement, Legislative Initiative, CHIPS and Multi-Modal
• Review and certify municipal and Metropolitan Planning Organization (UPWP) requests for payment. Work with Municipal counterparts and Consultants to correct problems, address deficiencies and provide information and training for the agreement and billing process.
• Track and maintain records and correspondence for the State Marchiselli Program yearly budget request
• Assist with the maintenance of various Capital Program databases including PSS, P6 and OPPM.
• Perform administrative functions in support of the Regional Planning & Program management group including but not limited to, NPS budget maintenance, purchasing, physical and digital file organization, records maintenance and archived project documentation.
• Perform special assignments as required including assistance with preparation for presentations, public meetings, etc.
• Track and maintain Local Program files and correspondence.
• Interested candidates should possess the ability to compile data, prepare reports using available information, prioritize and process a large number of transactions and have good written and oral communication skills. Experience with spreadsheets, database work processing, and PowerPoint software is needed. DOT purchasing and/or expenditures experience would be helpful.
• Responsibilities may include serving a role within the Incident Command System to support the Department’s response to regional and statewide emergency situations.
