Duties Description Under the supervision of an Associate Accountant in the Integrated Accounting System Unit of the Accounting Bureau, the incumbent of this position will be responsible for the following tasks. This position requires a high level of accuracy and attention to detail.
• Coordinate Daily Utilities with IT to update IAS (Integrated Accounting System) with Statewide Financial System (SFS) and Federal Aid Transactions;
• Track, in Excel, all generation numbers and counts related to the Utility for General Ledger, Project Master, Function Master and Month to Date transactions;
• Perform error correcting transactions in IAS – research missing Cost Center, PIN (Project Identification Number), and/or Function Code data on the incoming SFS file and correct errors within IAS before they are finalized;
• Set up PINs and Cost Centers in IAS as requested by Program Areas;
• Add users and set up roles in WIPPER (NYSDOT/SFS Interface). Perform quarterly review of this access;
• Participate in Office of General Services (OGS) Fixed Asset-Biennial Inventory by updating asset records in SFS;
• Coordinate Quarterly Certification of Fixed Assets with NYSDOT Regional offices;
• Assist with pulling Federal Aid files, running reports and filing;
• Perform Close-outs on federal aid projects;
• Process modifications on projects in Federal Highway Administration’s (FHWA’s) Financial Management Information System (FMIS);
• Enter FMIS information into IAS for purposes of billing FHWA;
• Archive federal aid projects;
• Special assignments related to the above
Responsibilities may include serving a role within the Incident Command System to support the department’s response to regional and statewide emergency situations.
