Minimum Qualifications Interested candidates must be reachable on the Secretary 1 eligible list or eligible to transfer under Section 70.1 of the Civil Service Law.
To be eligible to transfer under Section 70.1, candidates must have one year of permanent, competitive service in a qualifying title allocated to a salary grade 9 or higher. If the candidate is not currently incumbering, or has not previously held a keyboard or secretarial title, the candidate must take and pass a typing proficiency exam to qualify for transfer.
Duties Description • Provide secretarial support to the Director of Human Resources.
• Coordinate the background investigation process for all new exempt employees, which includes receiving and reviewing completed fingerprint history reports and forwarding any problematic fingerprint reports to the Director of Human Resources for appropriate action AND, receiving completed background information form, resume, and application for employment from each new exempt employee; submitting to the NY State Police along with a written request that a complete background investigation be conducted; reviewing completed background investigation reports and forwarding any problematic background investigation reports to the Director of Human Resources for appropriate action.
• Prepare BDA (Budget Director’s Approval form) for submission to the Division of Budget for approval to hire new exempt employee.
• Notify NYS Commission for Public Integrity of any changes to ethic filers (new appointments, resignations, address changes, etc). Responsible for yearly verification of agency ethics filers. Must also notify employee that they are an ethics filers and their name has been submitted to the Commission.
• Serve as back-up to Administrative Aide on updating of the Human Resources Information System (HRIS) database and preparing reports from Crystal Reports for Director of Human Resources and Executive staff as requested.
• Track receipt of performance evaluations and ratings for exempt staff and update HRIS database and Excel spreadsheet with appropriate information.
• Assist with answering the Human Resources main phone line, and sorting and distributing mail.
• Perform other clerical and secretarial support duties as assigned, including scanning, faxing, copying, filing, and the creation of correspondence.
