Duties Description The Administrative Aide, assigned to the Executive/Public Information Office, will support the agency’s two Press Officers and the operations of a busy, fast-paced, deadline-driven office. The Public Information Office (PIO) handles 1,000-plus inquiries annually from the media and other constituents, including the public, local and State elected officials and their staffs. The PIO also serves DCJS’ hosted agencies: the Commission of Correction, the Office of Victim Services, and the Office for the Prevention of Domestic Violence. The Administrative Aide will be responsible for answering the office’s main number and monitoring a shared mailbox used for press inquiries. Incoming calls are most frequently from members of the media, but also include high-level constituents from the Governor’s Office, and members of the general public. The incumbent will be responsible for obtaining specifics about reporters’ requests for information: nature of their inquiry and deadline, as well as ensuring accuracy of names, e-mail addresses and phone numbers. The incumbent will compile daily news clips for distribution to the Deputy Secretary for Public Safety and DCJS Executive staff. This work includes scanning dozens of online newspapers and other reputable sources of information to find relevant articles that pertain to criminal justice/public safety/other topics of interest. The Administrative Aide will also be responsible for following up on media advisories, confirming the media’s attendance at events; in some instances, handling logistical arrangements for press conferences/events; and also may assist with monitoring and posting to social media sites (Facebook/Twitter). The Administrative Aide will also be responsible for billing, purchasing and travel arrangements/paperwork; and scheduling meetings and conferences calls for the Office.
