Minimum Qualifications Must be reachable on current Civil Service Office Assistant 1 (Keyboarding), SG-6 list or currently hold the title of Office Assistant 1 (Keyboarding), SG-6 or a title from which transfer is appropriate.
Duties Description POSITION DESCRIPTION:
The Division of Student Affairs includes the following functional areas: Academic Support Services, Athletics, Career Services, Community Service, Student Conduct, Student Diversity and Inclusion, Student Involvement and Leadership, and Student Support.
• Serve as office receptionist for 110 Bray Hall; answer phones, take messages, make copies, send faxes, distribute mail and other information to the appropriate individuals in a timely manner; provide administrative support to Student Affairs staff and Coordinator of International Education.
• Assist Secretary 2 with preparation for College-wide events such as New Student Orientation (August and January), Fall Family and Alumni Barbeque, December and May Commencements, Annual Athletics Golf Tournament Fundraiser.
• Maintain office supplies for Student Affairs.
• Assist Secretary 2 with preparing office supply orders, IT Helpdesk requests, and Physical Plant work orders.
• Maintain Alumni Lounge and Rotunda reservation calendars, schedule meetings, and place meetings on calendars for various staff members following protocol, maintain email account for Student Involvement and Leadership.
• Assist with mailings and events.
• Maintain supplies of student resource materials.
• Assist with maintaining various databases.
• Create weekly all-student emails via Constant Contact with materials/information provided by Student Affairs colleagues.
• Assist students with various forms (reimbursement, travel, club and activity sign-ups, locker assignments).
• Assist Coordinator of Athletics with distributing/collecting/collating the Student Athlete Experience Evaluation Survey.
• Assist Coordinator of Athletics with updating the Student Athlete Handbook as directed and copying/distributing to student-athletes.
• Assist Coordinator of Athletics with preparing/updating Athletics materials for admissions events.
• Assist with major College events as needed which may include:
o New and Transfer Student Orientation (August and January);
o Commencement (December and May);
o Admissions events.
Additional Comments OPERATIONAL NEEDS: 8:00AM – 4:30PM – Monday through Friday (Occasional nights and/or weekends (3-4 per year) to provide support to major events such as new student orientation and commencement.
