Duties Description The Office of Mental Health (OMH) is recruiting to fill an Agency Program Aide, Grade 13, position in the Office of Financial Management, Consolidated Business Office. The Consolidated Business Office (CBO) is responsible for consolidated cash management, purchasing, vouchering, contract and payroll services for OMH Central Office and 24 OMH psychiatric facilities. The incumbent of this position will support the Contract Management Specialists within the Procurement Unit of the Consolidated Business Office. Specific duties may include, but are not limited to, the following:
Maintain Access database to coordinate and monitor CBO’s contract administration and procurement activities.
Perform procurement duties using a State procurement card. Review procurement documents for completion and accuracy.
Collect data and prepare initial analysis of information and provide appropriate summary evaluations to Contract Managers.
Prepare and edit correspondence, contract documents, bid packets and other forms used in contract administration and procurement activities.
Prepare contract and lease expenditure summary reports utilizing various software programs including Word, Excel, and Power Point.
Document agency contract and procurement policies and procedures for distribution and/or training. Develop and implement internal office procedures to ensure consistency of practices and transfer of program knowledge.
Respond to inquiries from vendors, control agencies, and agency program managers and provide information on contract requirements and processes.
Request information and documentation from facilities, program managers, and vendors in support of contract preparation, procurement requests and renewal processes.
