Candidates must be current state employees and have a reachable score on the Secretary 1 list or have a current permanent appointment with 1 year of service as a Secretary 1 or as a title eligible for transfer to Secretary 1, (Grade 9 with 1 year in service looking to do 70.1 two grade jump to grade 11), or appointment as Secretary 1 here at UAlbany, less than 1 year of service (remainder of probationary period to be completed in new assignment) or be a former state employee eligible for reinstatement to the title of Secretary 1. May be filled from a mandatory reemployment list if one is in effect at the time of appointment.

Duties Description Responsible principal administrative support to full-time faculty, adjunct instructors, and undergraduate and graduate students.
Answer e-mails, phone calls and related correspondence in relation to department business. Respond to faculty and student requests for assistance.
Order supplies from Staples, communicate with building and copy machine maintenance, mail distribution and rapid copy.
Maintain communication between DDs, campus and outside contacts concerning questions and inquiries related to our department and graduate programs.
Develop and maintain divisions’ listservs.
Handle graduate student paperwork related to their degree programs.
Provide clerical support to the undergraduate major.
Complete routine paperwork for student and faculty appointments and submit paperwork to Dean’s Office or Human Resources.
Maintain a file on each student.
Submit paperwork for reimbursement of faculty and approved student expenses.
Coordinate and update ongoing information on a continuous basis.
A few examples are advisee lists, surveys, incomplete grades, IRB expiration list and reminders, book orders, current syllabi.
Maintain the data base for current PhD, CAS and masters students in all programs in Educational Psychology and Special Education, and undergraduate students as needed
Maintain the data bases for alumni.
Keep records of courses offered each semester, and adjunct salaries.
Keep records of assistantships each year.
Create a directory for each division each fall.
Distribute notices via the student listservs.
Work with university electronic files to retrieve information such as grade rosters, enrollment lists, transcripts, permission numbers and student contact information.
Schedule courses following division director’s guidance.
Display the current semester’s courses, with instructors and room numbers, on the hall bulletin boards.
Compile folders for renewal, promotion and tenure review.
Make copies and create tables and lists as needed for these purposes.
Compile applicant summary information, print out information from Nolij if requested.
Send out acceptance (and assistantship letters if appropriate) to accepted Masters, CAS and PhD students.
Generate advisement materials (AVNs, permission numbers) and assist faculty with materials for student advisement as needed/directed.
Complete work using Microsoft Word, Microsoft Excel and People Soft. Word process memorandums, letters, reports, the division directories and appointment forms. Use technology as needed – scanning of documents, converting to PDFs, etc.
Provide support for sponsored projects, e.g. purchasing, completing student fellowship forms, etc.
Organize the distribution and collection of keys for students and faculty.
Distribute and collect the doctoral comprehensive exam each August and January. Copy and distribute student responses to faculty graders.
Reserve rooms for meetings.


Excellent opportunity for Grade 9 with one year in service looking for 70.1 promotion to Grade 11. Typing proficiency test will be given by SUNY.
