Candidates must be current state employees and have a reachable score on the Secretary 1 list or have a current permanent appointment with 1 year of service as a Secretary 1 or as a title eligible for transfer to Secretary 1 or appointment as Secretary 1 here at UAlbany, less than 1 year of service (remainder of probationary period to be completed in new assignment), Grade 9 with one year in service looking to do 70.1 two grade jump to grade 11, or be a former state employee eligible for reinstatement to the title of Secretary 1. Duties Description Provide principal administrative / secretarial support to the Associate Vice Provost and Dean of the Honors College, Assistant Vice Provost for Student Engagement, Associate Dean for General Education, Transfer Experience Coordinator, and Student Engagement Community Coordinator
Coordinate all human resources functions for appointing community assistants, graduate students and work study students supporting Honors College and Student Engagement initiatives, including timesheet tracking, submission and paycheck distribution
Provide support for faculty teaching in Student Engagement and Honors College programs as needed
Coordinate Event Planning for programs, advisory boards, and conferences hosted by Undergraduate Education offices (Honors College, Student Engagement, General Education program) including room reservations and set-up, catering, registrations and RSVP’s.
Track students in various engagement programs and the Honors College students using Excel spreadsheets
Enter student information into PeopleSoft
Track courses and gather course syllabi approved for various General Education categories
Provide support and tracking for the General Education academic competencies in majors
Represent Undergraduate Education programs at various recruiting events (e.g. staff table with information about programs; answer questions regarding Undergraduate Education programs)
Attend one weekend open house in the Fall semester and Spring semester and occasional evening event
Order office supplies and perform routine purchasing with procurement card, reconcile bank statement w/procurement

Provide receptionist and front desk duties
Maintain shared drive of documents; maintain appropriate stock of printed promotional materials
Send printed material copy requests to Rapid Copy as needed or requested
Receive and distribute program mail for Student Engagement and the Honors College
Send out-going mail using Mail Charge back forms per each program’s account number
Coordinate travel and reimbursement vouchers
Track reimbursements by program and within Student Engagement, by L-LC or engagement program
Respond to current and prospective student and parent inquiries via phone, email and in-person
Correspond with admitted students using mail merge and email merge software
Take notes / minutes at faculty meetings and advisory council meetings
Hire, train and supervise work study students
Assist the Living-Learning Community CA’s as needed
