Minimum Qualifications To be considered for permanent appointment, candidates must be reachable on the current Civil Service eligible list or be eligible for transfer in accordance with Civil Service Law.

Duties Description The Office Assistant 1 in this position will perform duties consistent with the standard for this title. As such, the selected candidate will maintain records, documents, and information; and produce correspondence, reports, charts, etc. The OA 1 must be able to read, understand, and apply procedures, rules, regulations, and laws. Preferred candidates will possess excellent written and oral communication skills as well as proficiency in computer programs such as Microsoft Word, Excel, PowerPoint, and Outlook. The duties include but are not limited to: <p><ul>
- MAMIS – Does MAMIS to TADS transfer and payroll adjustments.
- Distribution of pay checks to each Supervisor
- Evaluation & Probationary reports (sends to Supervisors, processes it when received back then sends to Personnel when complete)
- Assisting with ordering supplies, purchase orders, vouchers
- Tracking and entering data for purchasing tools and materials, correspondence memos and letters (including TAG letters, condition reports, operations logs, and overtime reports)
- Call Outs, Sad Pay and clothing allowances
- Accident report distribution and filing
- Maintains OSHA training reports and emails to safety
- TRINFO – maintain new and old employees training and certificates
- Sign Work Orders – logged into computer and sent back to Traffic in Hauppauge
- Assists with Lump Sum Payment when employees leave the State
- AS400 – log check numbers and dates on vouchers
- Service Requests – check on MAMIS & emailed to HMS2
- Copying and filing as needed (including maintaining, creating files and labels)
- Answering phones when needed and appropriately responding to or referring inquiries made by employees, vendors, and customers
- Sorting and distributing mail
- Scheduling activities, and producing/processing necessary paperwork.
The OA 1 will be trained and required to be proficient in the use of Department information systems, such as TADS (Time and Attendance & Distribution System), SEERT (Statewide Emergency Event Resource Tracking), HRIS (Human Resources Information System), MAMIS (Maintenance Asset Management System), TRINFO (Training Information System). Report during Incident Command System (ICS events and other emergency as needed
