Please Note that under Civil Service Law, an employee cannot have two consecutive upward 70.1 or 52.6 transfers without an intervening eligible list appointment if such transfers would exceed two salary grades.
Duties Description The Department of Financial Services is seeking candidates for the position of Agency Program Aide in Administration. Under the general direction of the Senior Attorney/Records Management Officer (RMO), the incumbent will assist with records and document retention, as well as Freedom of Information Law (FOIL) requests. Other duties include, but are not limited to:
• Providing administrative support to the Senior Attorney in the management of the agency’s Records Management and the FOIL tracking processes.
• Developing a general understanding of the Freedom of Information Law.
• Reviewing current DFS records retention policies and updating as needed.
• Developing retention policies for new records and communicating with the Divisions to identify those records.
• Understanding the State Archives and Records Administration (SARA) disposition schedule and seeking approval from SARA to implement changes to the retention policies.
• Arranging for transfer of records in accordance with the retention policy, assigning records retention numbers and shipping documents to storage facility.
• Maintaining the official records of the Banking Division. The specific tasks may include, but are not limited to the following:
o Receiving licenses from Divisions; filing and sending to county clerk's office.
o Maintaining license files in Albany. Disposing records according to current DFS retention policy.
o Preparing certificates (long and short forms) for Deputy signature as requested by industry and consumers.
o Maintaining the billing system for long and short forms, updating the system as orders are filled, recording payments and making follow up calls for outstanding bills.
• Performing other duties as requested.
