Duties Description This position will perform tasks/duties in the Budget and Revenue Units within the NYS Office of Parks, Recreation and Historic Preservation’s Bureau of Fiscal Management. This position is supervised by the Assistant Director of the Bureau and will be completing tasks and duties in both the Revenue and Budget Units as well as providing support for the Bureau.
Tasks and Duties:
• Processes Refund of Appropriation vouchers, Agency Joint Custody deposits, and General Ledger transfers including: preparation of documents, obtaining proper backup/supporting documentation, signatures, data entry into the Statewide Financial System (SFS), track status until posted, update registers, file as appropriate.
• Responsible for tracking budget, expenditure, revenue and voucher documents generated by the Bureau. Updates registers, logs, Division of the Budget (DOB) systems including Spending Control. Downloads/saves SFS reports, distributes to appropriate staff, etc.
• Responsible for providing clerical support to Bureau staff including phone coverage and special projects as needed; including electronic and hardcopy filing, scanning, copying, creation of annual budget request documents, supply orders, building access, meeting coordination, monthly finance calendar updates/distribution, Bureau cabinet listing updates, etc.
• Works with internal and external customers to resolve processing questions and financial issues; assists budget analysts as well as Regional, Albany Bureau, and other staff, regarding expenditures, encumbrances, budget allocations, balances, etc.
