Candidates must be current state employees and have a reachable score on the Secretary 1 list or have a current permanent appointment with 1 year of service as a Secretary 1 or as a title eligible for transfer to Secretary 1, (Grade 9 with 1 year in service looking to do 70.1 two grade jump to grade 11), or appointment as Secretary 1 here at UAlbany, less than 1 year of service (remainder of probationary period to be completed in new assignment) or be a former state employee eligible for reinstatement to the title of Secretary 1. May be filled from a mandatory reemployment list if one is in effect at the time of appointment..

Duties Description Provide principal administrative support to the Office of Undergraduate Admissions; organize, coordinate workflow for the complex processing of all transfer applicants to the University at Albany Office of Undergraduate Admissions; electronically preparing all transfer files for decisions by entering data into both PeopleSoft and the Nolij Document Imaging System, as well as the CRM system; develop new application procedures, training all classified staff; coordinate various communications for transfer applicants, including letters, emails, and phone calls; drafting correspondence for more than 7,000 transfer application students; primary liaison for the Transfer Degree Audit Specialist as it relates to the University’s Degree Audit Reporting System; supervise and train clerical and student staff; assist in the interview and hiring committee process; take ownership of the entire transfer application process; coordinate the workflow, utilizing processing staff to ensure timely completion and movement on to decision process; answer phones, build schools and applications, coordinate mailings; coordinate administrative budget support as it relates to purchasing and accounting matters; first point of contact for visitors and guests to the Office of Undergraduate Admissions; greet each individual, determine the nature of their visit or question and assist or route the visitor to the correct staff member or professional of the day; respond to inquiries from staff and visitors in a timely, friendly and professional manner; be cross-trained on data software programs, PeopleSoft and Nolij Document Imaging System to access, answer visitor questions and/or data entry of prospective student file information; collect, verify and accurately disseminate transcripts delivered to the office by individuals; verify they are in a sealed envelope route for appropriate processing; maintain electronic transcript file for tracking purposes; primary liaison between the two Undergraduate Admission office locations, one located in University Hall and the other in the University Administrative Building; cross-trained on many aspects of Undergraduate Admissions, including transfer processing, to ensure quality customer service and ability to respond to general inquiries. answer caller questions or route calls to appropriate individual or campus office in a timely manner; during high-volume call periods assist in answering calls in the queue; coordinate dissemination of UAlbany materials (brochures, pennants, posters, etc.) from individuals and schools; coordinate office mail for pick-up; manage University Hall conference room keys; lock suite doors at end of day; independent decision-making and problem solving skills and be a key resource for visitors to and over thirteen professional staff members in the Undergraduate Admissions Office; organized and detail-oriented; friendly and professional demeanor and ability to multi-task and resolve complex matters related to duties of the position; proficiency in Microsoft Office is required.
Excellent opportunity for Grade 9 with one year in service looking for 70.1 promotion to Grade 11. Typing proficiency test will be given by SUNY.
