Minimum Qualifications Reachable on the Department of Civil Service list for Legal Assistant 2 OR Permanent or contingent permanent status as a Legal Assistant 2 OR Eligible for transfer or reinstatement.
Duties Description • Interact with IT/PTG to upload electronic versions of documents, and work with e-discovery databases.
• Generate and format documents as necessary, and use various software programs including Office, Excel, Relativity, Case Notebook (formerly LiveNote) and Adobe PDF.
• Assemble and organize exhibits for depositions, subpoena hearings, court filings, hearings, and trials.
• Compile indexes of documents to prepare witnesses for deposition.
• Maintain files of manufacturer certifications and bank statements.
• Organize annual certifications received from participating and non-participating manufacturers.
• Compare data received to that from stamping agents to make sure the data matches.
• Compile transcripts of arbitration hearings.
• Compile documents to respond to FOIL requests.
• Compare escrow deposit accounts for companies that file bankruptcy; compare to data provided by NAAG.
• Review documents, organize and summarize as directed by attorney.
• Acquire a familiarity with state and federal rules regarding serving and filing of legal documents.
• Manage and conduct filing (electronic or otherwise) of litigation documents and associated court papers.
• Arrange for service of subpoenas and other litigation documents.
• Format briefs, including running Table of Authorities and Table of Contents.
• Prepare correspondence as directed or authorized by the attorney.
• Place key dates, including court-related activities and deadlines, on attorney’s calendar.
• Maintain information about assigned cases on internal case management system.
• Track annual arbitration expenses each fiscal year.
• Create lists of tobacco manufacturers that file sale certifications, along with their escrow deposit totals.
• Review spreadsheets provided by client agencies and redact confidential information.
• Download copies of cases and case histories cited in legal memoranda.
• Use Shepard's Citations or other reference sources to check the cases cited in legal memoranda, to ensure that the case law is still relevant.
• Use the Bluebook to ensure that all citations in briefs are in correct format.
• Research potential arbitrators for upcoming Adjustment arbitrations.
• Conduct other legal research as directed by attorney.
• Perform other duties as assigned.
