Minimum Qualifications Qualifications
This is a permanent position in the competitive jurisdictional classification. To be eligible, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as an Office Assistant 2, SG-09, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.

Duties Description The State University of New York System Administration is searching for a full-time Office Assistant 2, SG-09, for our Copy Center, which is located in Albany, New York. The duties include, but are not limited to, the following:

•Independently manage the daily workflow/schedule of copy requests sent from all offices throughout System Administration
•Format projects for printing, document scanning and enhancement from start to delivery
•Download print requests from email or print queues and manipulate them into finished products by using copy machine software
•Establish quality controls for work accuracy
•Communicate with internal customers to identify needs and solutions
•Suggest finishing solutions such as hole punching, stapling, and comb binding
•Troubleshoot machine problems and conduct regular key operator preventive machine maintenance
•Oversee material usage and supplies to manage effective levels
•Review completed work to ensure accuracy before delivery
•Maintain electronic record/log of all jobs printed and supplies monthly billing statements to the business office using Excel spreadsheet software
•Conduct general maintenance including glass cleaning, toner replacement and work area cleaning
•Service outside agencies and affiliated entities (SUCF, RF, other related organizations)
•Interpret and implement System Administration policies as they relate to the printing department

Requirements:
•Ability to lift and move boxes up to 40lbs
•Ability to work in a fast-paced, high volume environment
•Ability to understand and interpret office procedures
•Ability to perform job functions with limited supervision
•Ability to perform basic troubleshooting of various copy machines
