Minimum Qualifications Applicants must have taken and passed a NYS Civil Service examination and be reachable off the Civil Service eligible list.

Duties Description SUNY Empire State College, Office of Academic Affairs, is seeking a Secretary 1 at our Saratoga Springs Location. The Secretary 1 position provides administrative and clerical support for the Provost and the Office of Academic Affairs (OAA), including the Office of Sponsored Programs.
The duties include, but are not limited to:
Provides administrative support for the Provost and Academic Affairs
•Handle phone and email inquiries to OAA and the Provost, gathering relevant information, making appropriate referrals, and/or drafting the response
•Open, review, sort and distribute the Provost’s mail, reviewing incoming correspondence and report making appropriate referrals and tracking and following-up on required responses
•Draft correspondence for the academic leadership team and review outgoing correspondence for proper grammatical usage, clarity, accuracy and completeness
•Manage Outlook calendars for OAA leadership and prepare meeting materials
•Arrange, coordinate and host both internal and external meetings and conferences, large and small, simple and complex
•Prepare travel itineraries and prepare and submit travel reimbursements
•Maintain and reconcile various budgets in Academic Affairs and Sponsored Programs using QuickBooks and the SUNY Research Foundation systems, order supplies and materials and process payments
•Attend meetings as needed, taking minutes and prepare a summary of the meeting’s conclusions or agreed upon courses of action
Provide programmatic support for the Office of Sponsored Programs
•Maintain SUNY Research Foundation records and budgets and process vouchers and requisitions
•Maintain a variety of databases related to grant development, award summaries and post-award reporting
•Ensure that principal investigators (PIs) and others are aware and have timely notification of reporting requirements
