Minimum Qualifications Qualifications: This is a permanent position in the competitive jurisdictional classification. To be eligible, candidates must be reachable for appointment on the current Civil Service eligible list for this title; or have permanent status as an Secretary 1, SG-11, and be eligible for lateral transfer; or be eligible for transfer under Civil Service Law; or be eligible for reinstatement pursuant to Civil Service Rule 5.4.

Duties Description The State University of New York (SUNY) System Administration seeks a Secretary 1 in the New York City office to provide administrative support for the Office of the Chancellor.

This position serves as primary support to the Chancellor of the State University system when present in New York City. In addition, this position provides support to other executive leaders of the university when they are present in New York City. All other times, the Secretary 1 will support the office operations of the SUNY Global Center.

Duties and Responsibilities:
•Provide executive level administrative support to the Chancellor and the Executive Leadership Team
•Manage the Chancellor 's NYC calendar
•Assist in the preparation and finalization of official Chancellor's office documents (i.e. letters, memos, invitations) both electronic and hard copy
•Responsible for printing and augmenting the Chancellor's briefings as needed
•Serve as the Chancellor's Office receptionist by greeting guests and facilitating meeting preparations
•Provide assistance in gathering and compiling information and data for reports, presentations and budgets
•Prepare and/or edit routine communications, i.e. justifications for travel, food, special events and purchasing approvals
•Manage the filing system for the Office of the Chancellor at SUNY Global including organization and maintenance
•Ensure smooth functioning of the office, ensuring that all communications are handled appropriately and followed through to completion; and handle inquiries, including those of a time-sensitive and confidential nature
•Maintain the day-to-day office services by monitoring office phone line during normal business hours
•Assist the management staff of the SUNY Global Center and the SUNY Impact Foundation with administrative duties as needed, including travel, scheduling and conference calls.
