Duties Description Position Summary
Provides office support for the Director and other Hazen professional staff, assists individuals who are seeking services or information in Hazen, manages immunization compliance, and procurement for the office. Shares in responsibility for the daily operation of the Hazen front office and reception area. The Secretary I acts in accordance with Hazen policies and procedures.
Essential Functions
Provides support for the director and leadership team for budgets, schedules and project management, and maintains the Prevention Outreach Services grant.
Schedules and coordinates medical and counseling appointments for students; manages urgent requests/needs. Answers Health and Counseling Center phones, assists callers and directs them to the appropriate office or staff member. Interacts professionally with individuals who come for care in person.
Prepares and manages procurement processes for Hazen staff, including P-Card, purchase requisitions, office supplies and travel reimbursements.
Manages immunization compliance and requirements for the campus under NYS public health law.
Records and distributes minutes of staff meetings.
Compiles reports for the director and leadership team as requested.
Hires, trains and supervises student employees for practicum clinic.
Is comfortable working in a diverse environment, with confidential/personal information.
Works holidays when college is in session and occasional weekend days.
Non-Essential Functions
Maintains confidentiality and discretion in handling written and oral communication including student records, phone calls and other information that maybe HIPAA or FERPA protected.
Preferred Qualifications
Works independently, performs a variety of routine office tasks.
Strong organizational skills and works in a busy office setting - manages numerous priorities and demands.
Possesses efficient office management skills; and has knowledge of common office recordkeeping, computer and filing processes.
Has experience with common office equipment (copier, fax, and scanner).
Proficient with Microsoft software.
Excellent interpersonal skills and commitment to customer service.
Has experience in a medical office setting.
Has experience with electronic medical records.
