Minimum Qualifications Candidates must have permanent appointment in an Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Brockport location.
Duties Description Position Summary:
This position provides administrative support to the Academic Success Center (ACS) and its Directors. The ASC will integrate the Student Learning Center, the Office for Students with Disabilities, Student Retention, and some functions of Academic Advisement. The Secretary 1 position is an integral piece in the day to day functioning of this exciting and collaborative team.
Essential Functions:
Facilitates the daily operations of the ASC, including interacting with students, parents, faculty, and staff both in-person and through email.
Explains the ASC program and directs them to appropriate sub-units or areas.
Schedules ASC staff appointments using Exchange and Starfish platforms.
Assists the directors with administrative tasks: coordinates travel, manages budgets, takes minutes, makes copies, manages Blackboard groups, files, and performs many similar administrative tasks.
Creates signs, nametags, mailbox labels, file folders, for student employees and tutors as appropriate.
Manages organizing efforts, keeps office supplies and printed materials replenished.
Carries out payroll duties for all student employees of the ASC, which includes notification of due dates of electronic timesheets, answers timesheet questions, monitors timesheets and follows up with payroll on any potential issues. Distributes student employee paychecks and verifies this on the state budget system (Business Intelligence).
Hires, trains and supervises the ASC Office Assistants.
Works collaboratively and communicates with other clerical staff within the ASC. Manages inter-departmental clerical cross training.
Work with Information Technology Services with respect to computer labs such as staffing needs, supplies and troubleshooting problems with equipment.
Preferred Qualifications:
Is flexible in assisting in a variety of tasks to meet the unit’s needs and goals.
Possesses excellent organizational and time management skills.
Has excellent oral and written communication and strong interpersonal skills.
Knows MS Office, BI, Blackboard and Banner.
