Minimum Qualifications Candidates must have permanent appointment in a Secretary 1, SG 11, NY State classified position (or be eligible for transfer) or be reachable for appointment on the current NY State Civil Service eligible list for Secretary 1, Full Time - Rochester location.
Duties Description Position Summary:
The Secretary 1 primarily provides administrative support to the Director of Academic Affairs and departments within the Division. This position performs administrative tasks in support of overall office operations.
Essential Functions:
Operates a computer; uses Microsoft Office to manage data such as reports, correspondence, and minutes; as well as revisions and edits of submitted documents.
Communicates with internal and external populations (in person, by phone, and by e-mail). Schedules meetings and verifies information. Contacts NYS agencies to obtain documentation to submit for certification and credentialing.
Completes required Human Resources forms (new hires, amendments, extra service and so on).
Schedules and coordinates meetings and appointments for the division such as the monthly division meetings, and the bi-annual advisory council meetings.
Develops, maintains and revises the division’s meeting and event calendar.
Records and transcribes minutes of department and division meetings.
Assists with compiling program information, course schedules, travel arrangements and related paperwork.
Completes and processes Security Guard credentialing documents for NYS Certification.
Non-Essential Functions:
Proctors/supervises students in absence of faculty on occasion.
Covers the Welcome Center for visitors and phones on occasion.
Preferred Qualifications:
Has strong computer/word processing skills (ability/familiarity with Microsoft Office).
Possesses excellent organizational skills; ability to prioritize work, work independently, multi-task and meet deadlines.
Maintains excellent customer service skills; communicates well and maintains confidentiality.
Work effectively with faculty, staff, and students.
Analyzes data and information well.
Is capable of diplomacy, tact, and attention to detail.
Additional Comments This position is at the Rochester Educational Opportunity Center (REOC) in Rochester, NY.
