Current New York State employee with permanent or contingent-permanent status as an Administrative Assistant; OR current NYS employee with one year or more of permanent or contingent-permanent, competitive service in a title eligible to transfer under Section 52.6, Section 70.1, or Section 70.4 of the Civil Service Law to an Administrative Assistant, Administrative Assistant Trainee 1, or Administrative Assistant 2. Preferred candidates will have excellent oral and written communication skills; organization and time management skills; proficiency with Microsoft Word and Excel; the ability to effectively manage multiple priorities; and strong attention to detail. This position requires intricate knowledge of the Department’s structure, hierarchy and standards, as well as the ability to make ad hoc, independent decisions, impacting high-level interpersonal communications, on a Department-wide basis.
Duties Description The Administrative Assistant/Trainee will provide overall professional administrative support for staff within the Division of External Affairs. The responsibilities will include, but not be limited to: assigning, tracking, and monitoring correspondence and work assignments through an electronic tracking database (InterTrac); overseeing and proofreading data entry from support staff; editing of draft, high-level correspondences that require senior staff review and approval; liaising with Department staff to resolve correspondence issues/problems, both verbally and in writing; triaging calls and response to constituent issues that may not have been successfully addressed by program; independently reviewing, processing and directing external referrals; assisting with the preparation of reports, as well as analysis of retrieved data, from information housed in the database; recommending and implementing process improvements to increase efficiencies; providing training to new database users; and identifying and maintaining supply and equipment needs.
