Minimum Qualifications Two years of satisfactory secretarial experience or satisfactory completion of a two-year course in secretarial science from a business school registered with the NYS Education Department, or from a NYS Community College or technical institute, or a satisfactory combination of education and experience.

Preferred Qualifications: The selected candidate will have excellent attention to detail and organizational skills, must be a self-starter and must have the ability to work independently and to maintain confidentiality at all times.

Duties Description The DCJS Public Information Office (PIO) is one of the busiest in the State's Public Safety portfolio, and is a model for consolidation and cooperation because it also serves three smaller, hosted agencies: the State Commission of Correction, the Office of Victim Services and the Office for the Prevention of Domestic Violence. The Public Information Office prepares briefings for the DCJS Commissioner, Agency executive staff, executives from the hosted agencies; and the Governor's Office; and assists with press inquiries, writes press releases and coordinates press conferences, in cooperation with Chamber press, for the Governor and/or Deputy Secretary for Public Safety. Working independently, the Secretary 2 will provide secretarial and administrative support to the Public Information Officers in a variety of ways, including searching for, coordinating and distributing press clips, providing phone coverage, preparing letters and reports, scheduling meetings, making travel arrangements, processing travel vouchers and reconciling purchases following the DCJS, OSC and State Financial Systems guidelines. The incumbent will also be responsible for fielding requests for information, assisting with planning and coordinating press conferences and managing and updating content on the public website. The incumbent will also provide back-up phone coverage for the Commissioner's Office when needed.

In addition, the Secretary 2 will maintain and update all media contacts and media lists for the press office and monitor social media, notifying the PIOs if anything problematic is posted.. The incumbent must proofread print and electronic documents and publications, and establish/maintain tracking systems for all inquiries received and sent out by the PIO office. The Secretary 2 will be responsible for the transitioning of all paper files to electronic files. The incumbent will also recommend improvements for office procedures, act as liaison on all LEAN activities for PIO and ensuring forms and procedures are updated as necessary due to new legislation, policies or initiatives. The Secretary 2 will also coordinate agency-sponsored events and will provide assistance when needed.
