Minimum Qualifications Please note that Keyboarding proficiency is a minimum requirement of this position. Candidates who have not previously held a keyboarding title must pass a 5-minute typing session and must achieve a speed of 30 words per minute (WPM) with at least 96% accuracy in order to meet the NYS DCS keyboarding standard.

70.1 TRANSFER QUALIFICATIONS:
An employee with one year of permanent competitive service in a title allocated to Grade 9 or higher may qualify for transfer pursuant to Section 70.1 of the Civil Service Law.

Duties Description As a Secretary 1, you would be responsible for providing administrative support in an office. The incumbent will:
- Track and maintain open cases using Microsoft Excel, Microsoft Office Suite, and various databases
- Track and maintain DEOD mailbox
- Act as the Information Technology Services coordinator/Information Resource Representative
- Order and keep inventory of office supplies
- Develop, maintain and update office procedure manuals
- Review forms used by the organizational units, suggest changes and draft new forms
- Orient staff to office and agency procedures
- Open, review, sort and distribute the mail in accordance with staff assignments
- Review incoming correspondence and reports to determine their significance
- Answer phone calls and respond to questions concerning policy or procedures and refer calls to appropriate staff member for very technical information
- Monitor and track status of program activities
- Design, set up and maintain files (including electronic) of correspondence/documents, code and file material, search for requested material and periodically purge obsolete material for storage in records center or for disposal
- Prepare reports using statistical and narrative information
- Act as Personnel liaison, Tenant Safety Organization representative, and Training liaison

- Excellent communication skills
- High proficiency with Microsoft Outlook, Word, Excel and Access
- Ability to read, understand and apply laws, procedures, rules, regulations and guidelines
- Be flexible and adaptable to change
- Work as a team member and build effective relationships with others, including being responsive and helpful in answering questions
- Ability to use manual and electronic office records keeping and filing systems
- Ability to perform tasks accurately within prescribed time frames
- Ability to work independently and with others
