Minimum Qualifications Candidates must be employed by New York State to be eligible to apply for this position.

Candidates must have permanent status as a Secretary 1, Grade 11, and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1 of the Civil Service Law by having one year of permanent competitive or 55-b/55-c service in a qualifying Grade 9 to 13 title.

Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.

Duties Description The New York State Office of Mental Health (OMH) is recruiting to fill a Secretary 1, Grade 11, position assigned to the Administrative Support Services Group (ASSG). The incumbent will be responsible for providing administrative support for the Assistant Director of the Bureau of Facility Support Services. The Bureau of Facility Support Services provides program oversight to several diverse support services program areas across the state including: Nutrition and Fleet Services Unit, which oversees the Cook Chill Production Center and the 1500 vehicle fleet for OMH, as well as the Environmental Design and Improvement Unit, which oversees the statewide regional and special project Revitalization teams that perform ongoing maintenance and environmental projects at OMH facilities, Interior Design Department, Statewide Surplus program, and Real Property Services. Specific duties to be performed may include, but are not limited to the following:

Assist with Real Property Project tracking including entering updates into a project management system and tracking deadlines and benchmarks for lease projects.

Coordinate utility billing for tenants on OMH properties, prepare utility bills, utilize and maintain a utility rate spreadsheet for each utility and for each facility.

Provide guidance for proper completion of travel vouchers and act as Statewide Financial System (SFS) proxy for the submission of travel related expenses.

Assist with the preparation, processing, and tracking of purchase requests for furniture and equipment.

Assist with the updating of financial tracking databases related to approved capital projects.

Serve as a backup for paycheck distribution to Regional Revite and Special Project Teams.

Assist with the tracking of Plant Operations staffing and statewide initiatives related to the Plant Operations program.

Support Nutrition Services with the processing of invoices, compiling data and spreadsheets, letter and memo preparation as required, and maintain Bureau staff directory information for statewide Nutrition Services.

Assist all bureaus within ASSG with various tasks including phone coverage, mail distribution, ordering office supplies, maintaining staff and team itinerary calendars, maintaining hard copy and electronic files, and serve as backup secretary for the Director of ASSG as needed.
