Duties Description Summary:
General clerical responsibilities for the Associate Director for Housing and Operations to include typing of correspondence, tracking calendar appointments, and maintaining online and hard copy filing systems. Also provides clerical support to the Housing Committee. This position requires frequent contact with students and parents regarding explanation of housing and billing policies.

Prepare housing correspondence and information regarding new student off campus requests and the Release from Housing process for returning students, and waiting list housing. Assists with the overall preparation for the new student housing assignment process using THD in Adirondack, to include setting up tripled rooms and lists

Works closely with the Housing computer programmer to verify that charges, bills, triple rebates and refunds of deposits and room charges are processed correctly both in Adirondack THD and in Banner. Works with the programmer to identify and resolve computer processing problems in a timely manner. Continue to learn and modify housing processes using The Housing Director (THD).

Maintains the confidential files for medical and disability housing accommodation requests, as well as comfort animal requests.

Monitor use of the office fax machine, and responsible for distributing faxes as they arrive. Supervise and train a student office employee. Provide support and assistance to other secretaries and Central Staff members as needed

Major Responsibilities:
Responsible for processing room charges, deposits and room refunds and termination fees for all students living in residence halls using The Housing Director (THD) in the Adirondack software. Responsible for providing explanations of billing and housing procedures, guidelines, and regulations. Works closely with the Student Accounts Office, Financial Aid, Admissions Office, Registrar’s Office, Auxiliary Services, and the Associate Deans’ offices.

Maintain housing records including weekly occupancy reports, on-campus rosters and floor plans, space available reports, audit reports, RSP deposits and housing occupancy statistics. Works closely with the hall director staff to monitor and process SLAZSTA room occupancy changes and withdrawals in Banner and THD.

Assist the Associate Director with the returning student housing process (RSP), which includes the update of facilities information in THD, the monitoring of room deposits, online room selection form questions, and online housing preferences. This includes the Room Swap and Waiting List online housing processes, as well as student staff assignments and waivers.
