Minimum Qualifications You must hold or have held the title of Office Assistant 1 (Keyboarding) or be reachable on the full-time NYS Civil Service list and respond to canvass letter that will be sent to people on the eligible list.
Duties Description Summary: The Office Assistant 1 (Keyboarding) will be primarily responsible for answering the phone and responding to questions regarding financial aid applications and deadlines, general financial aid award information, as well as process and policy.
Major Responsibilities: As the first phone contact for the Financial Aid Office, the Office Assistant 1 (Keyboarding) reports to the Associate Director of Financial Aid and is responsible for the following:
1.Telephone (1st on phone): Primary responsibility for answering questions regarding financial aid for students and parents. This encompasses basic deadline and application questions, general financial aid award questions and office policy and procedure questions. Help customers learn and navigate the financial aid process and function. This involves answering the basic questions in a timely manner and forwarding more involved questions to the advising staff. Additionally responsible for entering detailed messages into the electronic financial aid call log for advisors to call back and scheduling of appointments for students with their financial aid advisor using Outlook.
2. Mail and fax: Primary responsibility is processing incoming documents via mail and fax. This includes checking for completeness of information submitted, requesting additional information, logging documents into BANNER, and then scanning and indexing documents into ONBASE. Also includes the delivery and pick up of mail from the mail room and opening and routing of mail to the appropriate individuals in the Financial Aid Office and to other offices. Also may include logging into and answering/forwarding questions from the Financial Aid Office email address.
3. Front Desk: Fill in at the front desk when needed. Responsibilities include greeting prospective and current students, parents, and staff in a friendly manner in addition to answering basic financial aid questions similar to those asked on the phone.
4. Other Clerical Responsibilities: Work closely with professional staff members to proactively facilitate the completion of requirements of students. This may involve sending postcards to students with outstanding requirements, calling students, running reports, helping stuff and mail financial aid award and
5. General Duties: The Office Assistant 1 (Keyboarding) is expected to carry out these duties with minimal supervision. Other temporary tasks appropriate to the position may be assigned by the Director or Associate Director of Financial Aid.
