Minimum Qualifications At least four years of experience engaged in State agency finance and/or human resources operations. A bachelor’s degree in a relevant field may substitute for at least two years of the required experience. The ideal candidate will also have experience facilitating meetings, excellent verbal and written communication skills, and experience working with Statewide technology platforms, such as the Statewide Financial System (SFS). The candidate should be able to prioritize tasks and assignments in a fast paced environment, have strong customer service skills, and be familiar with the Microsoft Office Suite.

Duties Description Last fall, the State of New York joined many other leading organizations worldwide by creating a central organization to provide transactional administrative services for all of its operating units. This organization – the Business Services Center (BSC) – is dedicated to providing exceptional customer service and highly efficient operations for functions such as payroll and invoice processing. By taking responsibility for these routine administrative functions, the BSC enables agencies to provide greater focus on core mission activities. Because of it scale, the BSC will provide new career paths and development opportunities for professionals that join its ranks. The BSC is housed within the New York State Office of General Services (OGS).

The Customer Care and Transition Team within the BSC is dedicated to supporting the customers of the BSC both during an agency’s transition and throughout receipt of services from the BSC. The Team works to establish and maintain strong working relationships with each of the BSC’s customer agencies to foster the communication needed to ensure an agency is receiving quality services that support it in meeting its mission objectives.

The Project Assistant will support the Team in working directly with agencies to lead and execute activities including, but not limited to the following:

• Managing and executing the activities related to the transition of agency finance and HR services to the BSC including tracking tasks against defined project plans and timelines
• Facilitating meetings with agencies to guide them through a defined transition process that includes diagnostic, solution design, cutover, and stabilization stages for each of the services transitioning to the BSC
• Working with BSC Finance and HR service lines to update and maintain policies and procedures and FAQs for distribution to transitioning and customer agencies
• Documenting unique business processes, operational and organizational information about each agency, and sharing across the BSC service lines through maintenance of the BSC Knowledge Database
• Developing presentation and communication materials in Microsoft Excel, Word and PowerPoint
• Collecting and analyzing a variety of data to support transition activities
