Minimum Qualifications Open to NYS employees with one year of permanent competitive service as an Administrative Aide, G-13 or in a title G-11 or above in a title approved for transfer under Section 70.1 of the Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.
Duties Description The Administrative Aide will be assigned to the ITRM unit within the Environment and Energy Cluster and will perform both HR and Finance related functions. Duties will include, but are not limited to:
• Review RTFs (Request To Fill forms) and determine appropriateness of title based on NYS Civil Service Classification Standards.
• Review posting submissions to verify all required.
• Schedule interviews for open positions, often involving multiple interviewers. Communicate all necessary information to the candidate for the interview (e.g., location of interview, directions, what they need to bring with them, provide duties description if requested, etc.)
• Prepare hiring packages, ensuring all required documentation and information is included.
• Ensure all required documents are received for titles that require additional documentation (e.g., BSA’s, Contract Management Specialist, Project Management, Traineeships, etc.)
• Assist with coordination, tracking, record keeping and submission of performance programs, evaluations and probationary reports.
• Review various Personnel/HR forms for completeness, approvals, and appropriateness and submit to HR (e.g., VRWS, Telecommuting, Compressed, alternate work schedule.)
• Prepare written communication to Cluster staff for announcements, notifications, etc.
• Familiarize themselves with, and adhere to, NYS HR/Personnel/Civil Service laws and Agency procedures.
• Request quotes from vendors as needed for maintenance renewals and new purchases.
• Receive, compile and review quotes for procurements, verify the product/service was transferred to ITS and should not be handled by the Host Agency.
• Enter Purchase Orders and Purchase Requisitions in SFS and to prepare a complete procurement record/package, ensuring all required documentation and approvals are included, and submit with the PO/PR.
• Track maintenance renewals for our Cluster by keeping track of maintenance begin and end dates, which may entail reaching out to various staff to verify the renewal needs to be done.
• Familiarize themselves with, and adhere to, NYS Procurement laws and Agency procedures.
Additional Comments This Office of Information Technology Services position will be assigned to work within the Environment and Energy Cluster. This position will be filled pending Department of Budget approval.
