Minimum Qualifications Position requires a High School Secretarial Program ~ Or ~ two (2) years college curriculum in Secretarial Science ~ Or ~ one (1) year experience working as a Secretary. Skills must include typing – proficiency and formatting at a minimum of 50 WPM plus skills in Office/Secretarial Procedures; Business Math; Accounting and Communications. NOTE: Position is non-competitive and, therefore, eligible list status is not required.

Duties Description The incumbent would provide secretarial services to both the Office of Public Information and Communications, and Counsel’s Office. Duties include, but are not limited to: assisting with execution of media and marketing strategies for the agency,; assist the OASAS Communications Director and staff to guide and support all bureau functions; manage the Communications e-mail and route inquiries to appropriate staff; process requests for Communications services and track requests to ensure timely completion; answer telephones, respond to questions or refer to appropriate parties; monitor and track status of program activities with necessary follow up to meet deadlines; schedule meetings and maintain calendars; make travel arrangements; arrange conferences, assemble and coordinate background materials for press events, meetings, conferences; prepare reports using daily news clips, statistical and narrative information; compile and track office purchase orders and invoice payment; open, review, sort and distribute mail in accordance with staff assignments. Both offices are extremely active with a broad range of responsibilities. Particular emphasis will be placed on the need for outstanding interpersonal communication skills because of exposure to the public, and media and agency inquiries. Flexibility and the ability to function efficiently with multi-tasking in a fast-paced environment are critical. This position requires an independent individual comfortable with decision-making who is able to work autonomously with little or no review of work. The incumbent needs good writing, proofreading and formatting skills. Experience with research via the Internet and graphic design is also desired. Applicants must also have excellent computer skills in Microsoft Word, Excel and be proficient in creating Power Point presentations. A DMV driver’s license is desired as the incumbent may need to pick up or deliver material. Preferred candidates must be highly organized and have experience working in team settings. In addition, the incumbent will also provide administrative support to Executive Office staff. Other duties as assigned.
