Duties Description The Program Management Office (PPMO) of the NYS Office of Information Technology Services (ITS) Administrative and General Services (AGS) Cluster is seeking a Project Coordinator with extensive experience in Division of the Budget (DOB) initiatives to manage two critical interagency projects, Hyperion for ITS and Enterprise Asset and Facility management for DOB.

ITS was established by the Governor’s Office in 2012 to consolidate IT service delivery to all New York State Agencies. Historically, information technology systems, applications, and solutions were developed and deployed within individual state agencies for specific programs or regions. This has presented ITS with the opportunity to lead the nation in serving citizens, businesses, and visitors through consolidated technology services. We believe our employees are our most important asset in achieving this and seek innovative, energetic individuals to contribute to this effort. We work as one connected community of technology professionals with opportunities for our employees to build new skills, achieve a higher degree of mastery, and take on bigger challenges. We look for innovative solutions that anticipate our partners’ needs, extending into the “foreseeable future” the technologies we provide today. We maintain a working environment that empowers our employees to think and act creatively in the best interest of our organization and our customers. We are committed to a set of core values that drives how we approach our solutions:

• Leadership and Excellence
• Empowerment and Partnership
• Innovation and Creativity
• Accountability, Integrity, and Ownership
• Teamwork and Collaboration
• Customer Service and satisfaction

The Project Coordinator must work closely with Statewide Financial Services (SFS) to manage requirements and integration points and oversee the ITS initiatives with a statewide viewpoint, allowing projects to be rolled out on an enterprise level. Both these initiatives are just kicking off, and will need to be managed though all the phases of the project. Once the initial implementation is completed, these programs will be rolled out beyond the pilot agencies.

Duties will include, but are not limited to, the following:
• Develop detailed project scope statements, and document project requirements for these complex projects by eliciting project goals, information needs, and relative project priorities from end users, subject experts and others.
• Coordinate/facilitate meetings with the project sponsor and relevant representatives and all stakeholders to review project proposal, goals, and intended deliverables.
• Develop project schedules using project schedule software, identifying milestones, dependencies and critical path, identifying alternatives for accommodating resource conflicts and/or compressing scheduled, if required, and any risks associated with those alternatives.
• Balance resource alternatives and potential solutions, documenting and presenting resource needs to management and coordinates project activities with those program areas.
• Develop project communication plan, compile detailed project reports, and communicate project status to stakeholders.
• Identify and manage risks with a focus on their potential impact on the project.
• Manage contract relationships, making decisions on changes in project schedules and scope.
• Prepare and execute the project roll out to larger audiences as needed.
• Perform tasks to advance the programmatic goals of the PMO, such as analyzing the performance of projects in the project portfolio.
• Assist the PMO Director in project mentoring and training.
• Provide backup support to PMO Director, including taking lead in their absence.
• Perform the full range of supervisory duties.
