Minimum Qualifications This is a transfer opportunity for current State Employees. The position is an 18-month traineeship leading to a CSEA grade 9. To be transfer eligible you must have current permanent or contingent permanent status as an Office Assistant 1 (Keyboarding), LDDS Trainee, or LDDS.

If you are reachable on the Beginning Clerical Worker Civil Service Eligible List you may receive a canvass letter in the mail.

CANDIDATE MAY BE REQUIRED TO TAKE AND PASS A TYPING PERFORMANCE TEST.

Duties Description We currently are filling the following positions:

Environmental Protection Bureau Albany:

•Prepare and manage legal documents.
•Edit, proofread and review documents, both legal and technical.
•Schedule meetings, videoconferences and conference calls.
•Provide telephone/email coverage for assigned staff.
•Maintain paper and electronic files (including case initiation, closure and archive management and PAM).
•Produce and manage agency correspondence.
•Manage inquiries and referral to appropriate staff.
•Make travel arrangements, obtain approvals and prepare vouchers.
•Maintain calendars.
•Coordinate expert witness/procurement, depositions/court reporters, and court filings (paper and electronic).
•Maintain the citizen complaint log and assist with library maintenance and updates.
•Provide back-up for decision distribution, supplies, mail, and PAM.
•Perform additional duties as assigned.

Preferred qualifications include: intermediate level knowledge of Microsoft Office.

Litigation Bureau Albany:

•Prepare legal documents including legal pleadings, legal papers, correspondence, memoranda, forms and any other documents required by attorneys and Legal Assistants in the Litigation Bureau.
•Type, organize, scan, photocopy and assemble packages of legal documents and arrange for them to be mailed, sent by overnight delivery, faxed, e-mailed (for electronic filing/electronic service), or personally served.
•By the conclusion of the traineeship, a LDDS will check and correct the format of citations; apply the rules of the courts with regard to service and filing; use Microsoft Word, Adobe Acrobat, Outlook, the bureau’s document assembly system; and data enter, search for, and retrieve information from agency and bureau databases.
•Responsible for knowing and being able to respond to inquiries regarding assigned attorneys’ schedules and whereabouts.
•Responsible for knowing the location of files for each assigned attorney.
•Make travel arrangements for assigned attorneys, including lodging and transportation reservations and arranging for coverage for the attorney.
•Perform general legal secretarial services and office duties as assigned.
•Coordinate with attorneys, clerical staff, correctional facilities and court reporting agencies to schedule depositions.
•Perform additional duties as assigned.
