Minimum Qualifications MINIMUM QUALIFICATIONS:
Must be reachable on the current Civil Service List for Office Assistant 1 or in a title eligible for transfer.
Duties Description POSITION DESCRIPTION:
The Office Assistant 1 performs entry-level clerical and office support work, including processing transactions and maintaining records in an office setting.
PRIMARY DUTIES AND RESPONSIBILITIES:
• Compile and maintain the data within the Emergency Management reporting software which includes all state-owned and operated as well as voluntary programs.
• Compile and maintain data within the Evacuation of Facilities in Disasters System (E-FINDS) ensuring compliance with established evacuation tracking and reporting requirements.
• Assist with Emergency Management plan construction and maintenance through the use of basic clerical skills.
• Develop a mechanism to track plan updates on an annual basis and assist in the scheduling and maintenance of emergency plan updates annually.
• Type correspondence in final or draft form from the Agency Emergency Management Coordinator in response to internal or external agencies. When correspondence reflects time frames, develops and maintains systems to assist the regional Emergency Management coordinator in meeting these time frames.
• Maintain records of emergency management planning committee meetings and tracks required trainings by staff under the national Incident Management System.
• Schedule appointments for the Agency Emergency Management Coordinator.
• Type correspondence for Agency Emergency Management Coordinator
• Track and record overtime within the unit.
• Assist in the construction of statewide monthly reports.
