Minimum Qualifications High school diploma or equivalent
Duties Description Facility Billing:
- Process facility vendor invoices using State database.
- Scan/file facility vendor invoices; reconcile monthly bank statements
- Prepare necessary reports and mailings to regional headquarters business office
- Update facility real-time budget databases
Facility Revenue, Expense, and Attendance Reporting:
- Enter weekly revenue information (parking sales, empire passport sales, use permit sales, etc.) into State database.
- Prepare weekly revenue reports (photocopy, scan, etc.) for regional business office and Albany
- Process Letter Orders and Revenue Abstracts
- Enter facility’s weekly attendance information into State database; prepare weekly attendance reports (photocopy, scan, file, etc.)
Patron Services:
- Issue annual passes
- Help patrons with facility related questions
- Mail and issue running team permits
- Assist with light maintenance, if needed
Administrative and Program Support:
- Conduct on-line searches and forms related to contractors and vendors
- Order and purchase materials; prepare and track purchase orders
- Maintain up-to-date asset records
- Prepare monthly reports, such as mileage
- Track budget expenses and provide quarterly financial reports to Manager
Additional Comments Operating Needs:
- Good computer skills especially Excel and Word
- Bookkeeping experience with demonstrated ability to accurately enter data and calculate
- Must be able to work on Saturdays
- Good interpersonal skills
- Selected candidate must possess and maintain a New York State Driver License by date of appointment as a term and condition of employment
