EITHER 1) Reachable on the Civil Service eligible list; OR 2) Eligible for reassignment by virtue of having permanent competitive service as an Office Assistant 3 (SG-14); OR 3) Eligible for transfer under the provisions of the Civil Service Law by virtue of having one year of permanent competitive service in an appropriate title.

Duties Description Job Duties

The Office Assistant 3 is responsible for, but not limited to, the following duties:

Administrative tasks associated with the operation and daily activities of the mail room
Opening/sorting mail, folding/inserting letters and inter-office mail delivery
Coordinates large print jobs and mailings
Prepares and mails monthly retirement checks
Operates a variety of mail processing and copier equipment
Receives, stores and distributes goods, materials, equipment and records in a stockroom / mail room setting
Loads, unloads and physically handles equipment and supplies
Rotates stock in storage areas as required
Maintains perpetual inventory records to monitor and control inventory stock levels
Maintains records or logs of items shipped, delivered and received
Assesses the need for ordering supplies, materials and equipment based on inventory levels
Prepares purchase requisitions to procure goods, materials, equipment and supplies
Prepare various reports related to inventory of materials received and distributed
Maintains logs for purchases and recycling in pursuit of LEED building certification
Plans or assists in the layout of storage areas
Communicates with agency staff, users, vendors, manufacturers, shippers and other parties
Evaluates clerical procedures and processes forms and documents relative to the efficiency of operations
Supports system functions such as MWBE, Delegates Meetings and other large events
Performs courier runs to the Post Office using system vehicles
Train / Supervise subordinate staff

A valid driver's license is required
Some heavy lifting may be necessary, the ability to lift 50 pounds is required
The position requires the use of various mail processing equipment such as, but not limited to, printers, copiers, sorters, inserters, postage machines, scanners, labelers, binding equipment, etc. Additionally, the position requires use of pallet jacks, dollies and other material handling equipment.
Travel to our second location in Malta, NY may be required

Additional Comments Position Summary

The Office Assistant 3 is designated to the mail room, overseeing all activities and administrative tasks within this area. Responsibilities include processing incoming and outgoing mail, packages, and deliveries—both bulk and individual. The role also entails performing printing tasks and managing the storage, inventory, and distribution of supplies and equipment.

The Office Assistant 3 position demands strong multitasking abilities. Prior operational experience and proficiency in handling various mail room equipment are essential. Basic computer skills are necessary for effective job performance. This position serves in a supervisory capacity, directing the activities of several Office Assistant 2s within the department.

Able to operate machinery such as Printers, Inserters, Folders, Labelers, which requires programming for jobs
Familiarity with "Fiery" Printing Management Software
Familiarity with "People Soft" Management Software
Knowledge of Microsoft Office Suite
