Minimum Qualifications MINIMUM QUALIFICATIONS:

Must be in title OR on the Civil Service eligible list OR be eligible for transfer under Section 70.1 in a designated title determined by the NYS Department of Civil Service OR be eligible for provisional appointment pending exam.

Simultaneous to this posting the Civil Service list for Administrative Assistant 2 will be canvassed. Management reserves the right to select either an eligible respondent to this posting or appoint from the Civil Service list.
Provisional qualifications: Must have one-year permanent service in Examination Composition Assistant, Law Department Document Specialist, Office Assistant 2 Keyboarding, Office Assistant 2 Keyboarding (Spanish Language), Administrative Assistant 1, Administrative Assistant 1 (Spanish Language), or Senior Data Entry Machine Operator.
If appointed on provisional status, you must participate in the next Civil Service examination(s) and be a reachable candidate to obtain permanent status and maintain your position.

Duties Description PRIMARY DUTIES AND RESPONSIBILITIES:

As an Administrative Assistant 2 assigned to Services Access, Program Implementation, Provider Support (SPS) Bureau, you will work independently and be responsible for providing administrative and office support to the Director of the Regional Office or Deputy Director of the Region Office. Responsibilities include but are not limited to:
• Provide a high level of customer services to stakeholders including the individuals, family, provider agencies, CCOs, OPWDD personnel and SPS RO divisions. Including answering telephones, providing appropriate information, take and tracking messages, and transfer calls to appropriate individuals
• Draft, proofread, and edit correspondence, prepare reports, tables, charts, via TABS, SharePoint, CHOICES, Excel and other platforms
• Maintain scheduling and event calendars including coordination of conferences and meetings
• Opens, reads, routes, and distributes incoming mail and other materials and answer routine inquires
• Assist in tracking assignments to ensure outcomes within desired timeframes are achieved
• Makes travels arrangements and process necessary documents in SFS
• Provides supervision, guidance, and training to the Administrative Support team, organize and lead team meetings, monitor performance and complete evaluations for subordinates, and serve as timekeeper for LATS/TIMES
• Provide technical support for Videoconferencing
• Preparing and mailing office correspondence
• Assist and maintain organization of Regional Field Office 2 Director’s priorities including preparation for meetings, filing (electronic and paper), ensuring copiers and faxes in working order and paper supplies filled, shredding, etc.
• Prepare and submit work orders
• Prepare and submit help tickets as necessary to ITS
• Maintain office inventory in current condition
• Provide administrative support to SPS Executive team and Regional Field Office Administration as needed and assigned
• Attend recurrent trainings and meetings; produce minutes as assigned
• Other duties as assigned
