Minimum Qualifications Minimum qualifications:

Reassignment - Currently in the title and an employee of DEC

or

Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.

or

Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and:

Eligible for transfer under Section 70.1: Permanent competitive service as an Administrative Assistant 2, Accountant Aide, Program Aide, Business Document Specialist 3, Head Mail & Supply Clerk, Head Stores Clerk, Legal Assistant 1 and Trainee 2, Office Assistant 3, Office Assistant 3 (Calculations), Office Assistant 3 (Human Resources), Payroll Examiner 2, Payroll Specialist 2, Principal Data Entry Machine Operator.

Also any language parenthetic for the above titles. You will be required to demonstrate proficiency in keyboarding. Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT."

Duties Description 1. Supervise the Division’s Administrative Support Unit by managing the administrative workload for Division Direction and the four division bureaus. Supervise Support Unit’s staff, ensure work is effectively accomplished and work is monitored, including remote work. Schedule and oversee scheduling of meetings and Webex meetings for Division Direction and bureaus. Maintain weekly Division staff schedules. Assist with various administrative duties and provide support for I-Expense and P-Card report filing reconciliation. Assemble information as necessary for Division Direction use. Assist in establishing work priorities and adjusting assignments when conflicts arise.

2. Assist with and oversee the receipt and tracking of all incoming mail and correspondence. Ensure that Division Direction and bureau correspondence is prepared in accordance with Department procedures and policies. Ensure that all correspondence is electronically filed in accordance with Division guidance and coordinate filing procedures with bureaus to ensure consistency and ability to locate documents.

3. Oversee Commissioner’s Correspondence Unit (CCU) assignments and correspondence for the Division, including logging and tracking of correspondence, distribution of assignments, and tracking of responses to support timely completion of assignments.

4. Manage and oversee Administrative Support staff’s answering of telephone calls. Ensure support staff reply to non-technical inquiries appropriately and redirect technical inquiries to appropriate Division/Department staff. Coordinate phone coverage and administrative support during times of approved leave, including entry of visitor information into the Passage Point building access system.

5. Manage and oversee administration of FOIL requests, file management and document transfer to archives, purchasing of PPE/clothing for appropriate Division staff, health and safety and medical monitoring for Division staff, legislation tracking, internal controls, and Division guidance and policy administration. Provide administrative, typing, and clerical support for Division rulemaking activities as requested.

6. Maintain the Division’s events calendar to minimize scheduling conflicts. Manage travel arrangements, submit vehicle requests, reserve lodging and transportation and assist in preparing travel approval requests and voucher preparation for Division Direction and other related administrative duties.
