Duties Description • Act as the initial point of contact for staff and visitors entering The Metro Business office

• Answer phones and emails on behalf of the Metro Business Office and Transportation Units.

• Receive, sort, process and deliver incoming and outgoing mail on behalf of Metro. May need to deliver mail between NYC and Bronx Offices or make other trips to deliver mail, goods, etc.

• Provide occasional coverage of 2400 Halsey Street Bronx Office.

• Direct guests and vendors to locations within the building as requested by the Metro Business Office.

• Make assessments and decisions about guest and vendor needs in order to direct them appropriately.

• Maintain a reliable and professional demeanor at all times.

• Assist with maintaining a clean and sanitary environment as required by building policy.

• Perform office-related activities such as filing, alphabetizing, photocopying, sorting and delivering mail, storing records or supplies on shelves, bins and/or on the floor. Incumbent will also need to be able to learn to utilize use computer systems such as excel, sfs, etc. and assist with related business office activities including but not necessarily limited to accounts payable, p-card recon, procurement, receiving and cash/banking functions. Will work within Acumatica, Banking and SFS systems.

• May be needed to inspect, check and patrol areas to detect vandalism or non-adherence to safety procedures; report defects, possible hazards or potentially dangerous conditions in the building and adjacent areas.

• Direct patrons to designated parking areas and/or specific parking spots or locations; direct persons or vehicles not authorized to use the parking facilities to alternate locations; inspects vehicles for current and correct parking permits; assure that cars are parked in the correct area and not in reserved or handicapped spaces; and keep records of vehicles for which parking privileges have been suspended or revoked and controls access to parking areas accordingly and assist with transportation related clerical issues.

• May travel to other offices within the State or facility to pick-up or move equipment, supplies or persons. This item will be involved in at least monthly transfers and distribution of PPE within OPWDD regions 5 and 6 and occasionally to areas in other areas of the state, as needed.

• Move heavy supplies and equipment (PPE)

• Load and unload heavy equipment, supplies (PPE) and furniture from trucks by physically lifting items or operating a hand truck or forklift.

• Move items to and from storerooms and/or warehouses. May maintain storage areas. Conduct inventory.

• Assist drivers and motor vehicle operators in picking up and delivering PPE items.

• Deliver forms and supplies to various offices.

• Assist in the receiving and shipping of various office materials.
