Job Specifics
Minimum Qualifications Candidates must be reachable for appointment on Current Civil Service Eligible List for this title.
OR
Candidates must have one year of permanent competitive or 55-b/c status in the posted title and be eligible for lateral transfer; OR be eligible to transfer via Section 70.1, 70.4, or 52.6 of Civil Service Law. The transfer cannot be a second consecutive transfer resulting in an advancement of more than two salary grades.
PREFERRED QUALIFICATION:
Possession of a valid driver's license to operate a motor vehicle in New York State.
Duties Description The Office for People With Developmental Disabilities (OPWDD) Division of Fiscal Policy and Management is seeking a person to work as an Office Assistant 3 in the Fleet Management Unit. Job duties include but are not limited to:
• Monitor and respond to emails from transportation coordination staff and other internal and external sources within required timeframes.
• Update and manage spreadsheets, folders, and all documentation for all accidents and incidents.
• Review and process MVA-related documents for submission to the Office of General Services, or other entities, with a high degree of accuracy.
• Act as point of contact and coordinate with OGS, transportation coordination staff, and other third parties as needed.
• Send frequent periodic follow up correspondence to ensure MVA documentation is received in a timely manner.
• Triage and answer questions from various parties via email, letter, and phone.
• Review and process paperwork for vehicles which are being disposed of after being replaced with new vehicles; referred to as “surplus."
• Follow up with transportation coordination staff as required.
• Document the collection, submission, and drop-off of vehicles to OGS.
• Order replacement documents as needed.
• Update required systems as needed.
• Make updates to the tracking application(s).
• Supervise one or more Office Assistants.
• Assist with data entry.
• Assist with Motor Pool administration.
• Occasional local driving for repositioning vehicles and maintenance appointments.
