Job Specifics
Duties Description Assist in the supervision of all clerical staff in the registration and scheduling of outpatient services when requested and assists in outpatient clerical staff training, schedules and adherence to clerical procedures. Assist in the maintenance of the Meditech system, and in the training of Meditech to staff. The incumbent of this position will be responsible for assisting in continued education of staff members in terms of hospital policy, daily operations and computer applications. Will perform QM management within the registration process reporting results to direct supervisor and assisting in developing task list for continued training. This individual will need problem solving skills and be able to apply them in a professional manner when interacting with patients and staff members, and other duties as assigned.
Minimum Qualifications Candidates must be reachable on the Civil Service eligible OR Candidates must have one year of permanent competitive or 55b/c service in a title eligible for transfer under the provisions of Section 70.1 of the Civil Service Law.
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
Open Competitive Minimum Qualifications:
Administrative Assistant Trainee 1: Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Administrative Assistant Trainee 2: One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.
Administrative Assistant 1: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.
Minimum Qualifications Substitution:
The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation. Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.
Additional Comments PREFERRED QUALIFICATIONS/COMPETENCIES:
3 – 5 years of experience with registration and scheduling in an outpatient setting. Experience with registration and scheduling modules of Meditech, and experience training staff in Meditech registration and/or scheduling. Excellent verbal communication skills; ability to effectively multi-task; detail oriented; ability to work in a fast paced environment. Knowledge of outpatient insurance requirements in scheduling and ability to problem solve difficult cases. Knowledgeable in Phreesia outpatient system being able to read and utilize system daily. Familiar with all steps of Meditech registration, Medicare and other insurance requirements to accurately register, train and perform quality measure checks. Ability to produce quality measurement intake in outpatient setting for reporting to supervisor and identifying departmental training needs.

This position may require travel throughout New York State including overnights to areas not served by public transportation.
