Job Specifics
Duties Description DUTIES
• Print and prepare all letters and legal documents generated through the bureau’s case management program. This includes sorting, collating, inserting into envelopes, and distributing to appropriate staff. Some tasks are completed manually others utilize the Pitney Bowes mailing machine.
• Photocopy legal documents for filing with County Clerks’ Offices across New York State.
• Electronically file (e-file) documents with County Clerks’ Offices statewide.
• Track documents sent to County Clerk’s Offices for filing to confirm successful filing.
• Prepare, process, and order Notice of Entry documents.
• Transmit (trans-file) Transcripts of Judgments to counties throughout New York State.
• Process additional service of summons mailings, including reviewing, signing, and posting Affidavits of Mailing daily.
• Learn the various tasks of the Bureau’s Operations Unit and provide back-up support as needed.
• Maintain proficiency in Microsoft Word, Access, and SilverCAR.
• Operate and maintain office equipment such as photocopiers, calculators, printers, adding machines, and the Pitney Bowes mailing machine.
• Perform other duties as assigned.
Minimum Qualifications NY HELPS:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).
For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.
At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
NON-COMPETITIVE QUALIFICATIONS:
There are no minimum education or experience requirements for this title.
OTHER WAYS TO QUALIFY:
Reachable on the Department of Civil Service Eligible list for Beginning Office Assistant.

Eligible for a lateral transfer or eligible for transfer under Section 70.1 of the Civil Service Law by having one year of permanent competitive service in an appropriate title.
