Duties Description Under the supervision of the Chief Medical Officer, the Health Facilities Management Assistant will oversee the day-to-day administrative operations for the Medical Department and will perform the following duties: Coordinate medical staff activities and analyze facility operations and administrative processes by gathering information from internal and external audits, interviews, conferences, on-site observations, questionnaires, and reports; Act as a liaison between the medical staff, other professional staff, Chief Medical Officer, and Administration; Oversee all Medical Staff credentialing activities and privilege delineation activities in accordance with the Medical Staff policies, bylaws and rules and regulations to ensure that only qualified practitioners provide care at the hospital; Oversee technical and administrative support to the Medical Staff Committee, Medical Executive Committee, and the Credentials Committee; Oversee agendas, minutes, credentialing reports, and compilation of data for quality improvement and reporting; Provide support to review and update the Medical Staff Bylaw; Ensure policies and procedures remain current and internal controls are in place in all areas within the medical department; Supervise four Administrative Assistants and oversee staff responsible for the following Medical Staff Office functions: EPriv, Medicare enrollment and revalidation, OPPE/FPPE, Health Commerce System enrollment, insurance panel and CAQH credentialing, transfer agreements, professional billing, scheduling WHEN practitioners, updating contract information lists, on-boarding and off-boarding Medical Staff and supporting Medical Staff and Hospital committees; Provide oversight management of the Medical Staff, Clinical Laboratory, Radiology, and Dental Departments; Provide technical and administrative assistance to the Acting Chief Medical Officer for Medical Staff meetings and oversee staff responsible for the MedStaff Intranet; Monitor all aspects of the department to ensure they operate efficiently following proper procedures and protocols for patient and staff safety and that they develop and reach established departmental goals; Ensure each department is compliant with federal, State, and TJC regulatory requirements as applicable. Other duties as assigned.
Minimum Qualifications Transfers: Current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service in a position that is eligible for transfer under Section 70.1 and or 52.6 of the Civil Service Law to a Health Facility Management Assistant.
Open Competitive (NY HELPS) Minimum Qualifications:
Six years of experience in the administration of a health-related facility, which includes work in human resources, business, or finance offices, quality management, or functioning as the administrator of a health-related facility, which includes collecting and analyzing administrative data to assess the efficiency of program operations and performance and develop internal controls; recommending changes and improvements to management; and reviewing and updating facility policies and procedures to ensure compliance with agency, facility, and regulatory requirements.
Minimum Qualifications Substitution:
An associate degree may substitute for two years of experience; a bachelor’s degree may substitute for four years of experience; a master’s degree may substitute for five years of experience; and a doctorate may substitute for six years of experience.
Preferred Qualifications: Experience coordinating with medical staff and licensing boards for credentialing and privileging processes. Proficiency in medical staff software systems, strong knowledge of Microsoft Suite (Word, Excel) CAQH, and MDStaff. Strong organizational and time-management skills with the ability to prioritize multiple tasks. Understanding of healthcare regulations, HIPAA, and IRF-specific compliance standards. Experience in audits and surveys to conform to Joint Commission and CMS guidelines. Prior work in a Medical Staff Office, Credentialing Department, or Administrative Office in an IRF or acute/post-acute care environment. Ability to maintain confidential, detailed, and timely records for audits, surveys, and inspections. Familiarity with medical staff bylaws, privileging criteria, and reappointment cycles. Strong communication and interpersonal skills for liaising with physicians and allied health providers, hospital leadership and outside agencies. Ability to work both independently and as part of a multidisciplinary team. Time-management skills and the ability to prioritize tasks under tight deadlines. Adaptability to changing regulations or internal processes.

Posted salary range ($70,951 - $89,138) includes downstate adjustment of $4,000.
