Job Specifics
Duties Description Duties will include, but not limited to the following:
• Provide administrative support to the Investigations Unit.
• Respond to questions regarding policy and procedure and/or referring more complex questions to the appropriate person for response regarding the New York State Justice Center for the Protection of People with Special Needs.
• Review incoming correspondence and gather information relating to the correspondence.
• A daily follow up on correspondence requiring action or response is maintained to identify the follow-up date and location of files in appropriate date folders. Actively pursue response(s) to ensure timeliness and independently create and send memos to staff for input when the need to update various documents arises.
• Screen telephone calls received from staff, the public, vendors and personnel of other State agencies. Handle routine matters independently and refer others as appropriate.
• Prepare written drafts or directly respond to routine correspondence.
• Review outgoing correspondence, make suggestions to drafts prepared by others to ensure conformance with agency correspondence guidelines, and prepare final copy for approval.
• Schedule meetings on behalf of supervisory staff and maintain their calendars.
• Transmit personnel-related matters and forms to appropriate staff.
• Make travel arrangements and process travel vouchers in SFS.
• Attend meetings, take minutes and distribute accordingly.
• May supervise clerical staff.
• Maintain and update files as necessary.
• Perform other duties as assigned.
Minimum Qualifications Current New York State employee with one year or more permanent, contingent-permanent or 55b/c service as an Administrative Assistant 2 and are interested in reassignment; OR Current New York State employee with one year or more of permanent, contingent-permanent, or 55b/c service in a position allocated to a Grade 13 and eligible for transfer under Section 70.1 of the Civil Service Law.
If a viable eligible list does not exist, a provisional appointment may be made in accordance with Civil Service Law. Candidates who accept a provisional appointment must take the next competitive examination and be reachable on the resultant eligible list in order to be considered for permanent appointment to the position.

*NOTE: Candidates who have not previously served in a keyboarding title must demonstrate adequate keyboarding skills (e.g., the ability to type 30 words per minute with at least 96 percent accuracy) by passing the Keyboard Performance Test.
