Job Specifics
Duties Description Reporting to the Lottery Director ("Director"), this position will provide administrative support to the Director and serve as principal administrative support to Director's direct reports, The position will be responsible for basic administrative duties such as scheduling appointments; providing information or routing telephone, mall and email inquiries; tracking and ordering office supplies; greeting visitors; drafting correspondence, assisting with travel planning and processing of-travel requests and expense reports; processing documents for signature across units, the agency and vendors. In addition, this position will be responsible for:
•tracking incoming items that require Director or Commission Executive review
•maintaining structured document retention program network and intranet
•tracking HR documentation (fill requests, retirements, extended leave, hires/departures outside work), scheduling interviews, tracking remote work schedule
•serving as the lottery communications lead create and distribute communications via email and intranet (announcements, issues, new hires, newsletters, departures)
•handling new hire and department paperwork such as processing of activation/deactivation forms, notifying units, ensuring hire/departure is announced on intranet
•providing significant onboarding and substantive administrative training and orientation to new staff
•tracking and distributing inquiries from the Inspector General's Office, Attorney General's Office and legislative inquiries
•tracking Director staff schedules and reviewing timesheets for Director approval
•providing confidential communications to the Director and lottery staff
•communicating and tracking lntema1 controls process, including routing, establishing deadlines, distributing documents to Lottery staff and Internal Controls Office and ensuring all deadlines are met
•coordinating vendor damages collection letter/date of collection
•providing confidential support to the Director, managing Director schedule and preparing documentation for meetings
•ensuring confidential documents are properly handled and retained
•serving as the liaison between Lottery units and Director and immediately escalating integrity concerns; processing vendor paperwork such as OGS policy crime renewals, ticket reconstruction authorization, system access
•tracking Lottery staff equipment, cell phone and lPads with hire/departure and annually for Risk Management
•proofreading documents and public facing materials
•updating information on the intranet and reviewing website daily for accuracy
•reviewing, responding and overseeing Lottery suggestion box, tracking resulting efforts, preparing recognition certificates
•searching for information at the request of Director or direct reports
•serving as the control for various functions such as tracking, reviewing, transferring files
•preparing basic reports and projects assigned by the Director.
Minimum Qualifications Eligible List Appointment:
Candidates must be reachable on the appropriate Civil Service eligible list.

Transfer Opportunity: Candidates must have one year of permanent competitive or 55-b/55-c service in a title eligible for transfer under Section 70.1 of the Civil Service Law.
Additional Comments Prohibition against Playing and Wagering:
Commission employees and family members residing in their households are prohibited from purchasing Lottery tickets or claiming Lottery prizes. Commission employees are prohibited from wagering upon any horse racing, commercial gaming, video lottery gaming, Indian gaming, charitable gaming activities, interactive fantasy sports, and mobile sports wagering within the State. To avoid any appearance of impropriety of conflict of interest, Commission employees will be prohibited from all aspects of promoting, operating, and playing in any charitable gaming, which includes bingo and games of chance such as raffles, whether the organization conducting the game is required to be licensed by the Commission. The prohibition placed upon each Commission employee from assisting with any charitable gaming does not apply to the employee's family unless the employee thinks it presents a conflict of interest related to his or her job duties. Commission employees must also avoid any outside activities that could interfere or be perceived to interfere with their job duties.
