Job Specifics
Duties Description The Administrative Specialist 2, G-23 position will perform a variety of administrative activities. Specific duties include but are not limited to:
• Supervision of staff assigned to the HR liaison, Administrative Support, and FOIL units;
• Oversee the purchase of goods and services for the Division of Corporations, State Records and UCC;
• Oversee the preparation of intents to fill, track recruitment, and work with Division management to determine the priority of pending recruitment.
• Oversee all recruitment activity, including the preparation of hiring justifications and interview questions, scheduling of interviews and conducting reference checks.
• Oversee the preparation of classification requests, including the preparation of job descriptions and justifications.
• Work with unit supervisors and interview panels to ensure that interviews are conducted in compliance with Department policies and procedures.
• Track employee compliance with required Department of State training, and work with the Division of Human Resources, Division management and unit supervisors to develop and/or obtain specialized training for employees assigned to the Division's functional units.
• Track work plans, probationary reports and performance evaluations for Division staff and work with unit supervisors to ensure that evaluations are completed on time and in accordance with Division policies and procedures.
• Oversee office support for the Division.
• Assist with special projects as assigned by Division management.
Minimum Qualifications MINIMUM QUALIFICATIONS:

TRANSFER QUALIFICATIONS: Permanent service in this title or one year of permanent competitive or 55-B/C service in a title SG-21 or higher and otherwise eligible for transfer under Civil Service Law.

REASSIGNMENT QUALIFICATIONS: Current Department of State employees with one year of permanent, contingent permanent, or 55 B/C service as an Administrative Specialist 2. If less than one year, you must be currently reachable on the Administrative Specialist 2eligible list for the Albany location if one exists.

For new State employees appointed to graded positions, the annual salary is the hiring rate (beginning of the Salary Range) of the position. Promotion salaries are calculated by the NYS Office of the State Comptroller in accordance with NYS Civil Service Law, OSC Payroll rules and regulations and negotiated union contracts.
NOTE ON TELECOMMUTING: The Department of State employees may be approved for a maximum of 50% telecommuting, however, they are required to apply and obtain approval through management in accordance with The Department of State Telecommuting Program Guidelines.
