Job Specifics
Minimum Qualifications Either 1) Reachable on the Civil Service eligible list ( if you are on the eligible list for this title, you will automatically be canvassed for this position if your score is reachable for potential appointment); OR 2) Eligible for reassignment by virtue of having permanent competitive service as an Office Assistant 2 (Calculations) Grade 9, Title structure change from Calculations Clerk 2 (Grade 9); OR 3) Eligible for transfer under the provisions of Section 70.1 of Civil Service Law by virtue of having one year competitive service in an appropriate title.
Duties Description These positions are located in the Contract Administration Unit. The selected candidates would review and process contract transactions and related vouchers for agency grants and contracts; process documents through the Statewide Financial System (SFS); maintain and update voucher logs reflecting the status of actions; communicate with the agency program staff and on occasion grantees verbally or by preparing written communications regarding missing data or claim discrepancies. Responsible for assisting with the maintenance of files for contracts, related vouchers, and supporting documents. This includes creation of new files as appropriate, as well as the maintenance and organization of such, inclusive of photocopying, filing, and refilling payment or award information. File maintenance including periodic reorganization of files, as well as archiving records. Assist with other office duties including answering phones, opening and sorting mail, greeting customers, coping, faxing, and scanning and other duties as required. It will be necessary for the incumbent to use various computer programs including, but not limited to, Microsoft Excel, Microsoft Word, Outlook and the Statewide Financial System (SFS).
