Job Specifics

Duties Description • Provide administrative support to the Training and Fire Management Officers and their respective programs. Perform general administrative duties such as scheduling meetings, creating correspondence and spreadsheets, answering phone calls and emails.

• Incident Qualifications System data entry support and maintenance.

• Maintain training records and documentation.

• Print and deliver training certificates.

• Assist with required Department of Health (DOH) reporting, documentation and
notifications.

• Provide administrative support for basic academy and in-service training events.

• General file maintenance, photocopying, scanning & processing mail.

• Complete special projects as requested.

• Department of Health contact for new DOH add-ons.

• Electronic Patient Care Report quality control training on Patient Care Reports.

• Maintain the Certified First Responder paperwork and the Continuing Medical Education paperwork for the DOH.

• Conduct quarterly inventories for the medical/AED supply program.

• Identify items to be purchased for the medical supply program and work with the finance unit to make the purchase.

• On an annual basis, re-supply first aid items to the field.

• Assist the EPS1 with the VFC grant administration.

• Assist with credit card reconciling and approving/processing bills.

Minimum Qualifications Reassignment - Currently in the title and an employee of DEC
Or

Reinstatement Eligible - Previously held the title on a permanent competitive basis or held a title as indicated under the transfer eligible section on a permanent competitive basis.
Or

Transfer Eligible - One year of permanent competitive service at Salary Grade 13 or higher and:

Eligible for transfer under Section 70.1: Permanent competitive service as an Administrative Assistant 2, Accountant Aide, Program Aide, Business Document Specialist 3, Head Mail & Supply Clerk, Head Stores Clerk, Legal Assistant 1 and Trainee 2, Office Assistant 3, Office Assistant 3 (Calculations), Office Assistant 3 (Human Resources), Payroll Examiner 2, Payroll Specialist 2, Principal Data Entry Machine Operator.

Also, any language parenthetic for the above titles. Additional titles which qualify can be found on the Department of Civil Service website, search "GOT-IT."

Must undergo a background investigation prior to appointment. Candidate will be responsible for fingerprint processing fees.

Additional Comments Telecommuting may be available, will be discussed at interview.
