Job Specifics

Duties Description This position resides in the Division of Operations' Bureau of Transportation Services. Duties include, but are not limited to, the following:

• Manage inventory of DEC On-Road Vehicles in multiple systems (AMS, Fleetwave, WebTMA). This Includes entry of all newly acquired vehicles and removal of surplus items; tracking data and maintenance of DEC 2,300 On Road Vehicles; recording changes related to location, program, and driver assignments; upkeep of multiple inventory systems and tracking of ZEV Conversion, Emergency response assets; and handling DMV documents, vehicle titles, filing, and maintenance of these records.

• Oversees Agency WEX fuel purchases which includes reviewing transaction records along with additional duties. This includes submitting requests for all new vehicle fuel card requests; maintaining system updates/reporting as needed including re-issuance for lost, missing, damaged vehicle cards; maintaining records associated with DEC fuel site transactions and Reporting; and overseeing DEC’s vehicle charging stations billing and associated RFID cards for fleet electric charging.

• Assist with DPAT (Deployable Preparedness Asset Tracking) case requests. This includes maintaining tracking status of case approvals; aiding supervision with compiling requests, answering questions, and additional information needs related to DPAT processing.

• Perform telematics system maintenance and reporting such as adding and removing vehicles and managing Agency staff access.

• Manage OGS Surplus requests, including maintenance of records of Agency
vehicles status and oversees staff handling equipment surplus.

• Supervise lower-level office staff responsible for vehicle dispatch pool and Fleet equipment. Provide training and guidance on proper procedures for reporting, record keeping, and other office tasks performed.

Minimum Qualifications Reassignment - Currently in the title and an employee of DEC
or

Reinstatement Eligible - Previously held the title on a permanent
competitive basis or held a title as indicated under the transfer
eligible section on a permanent competitive basis.
or

Transfer Eligible - One year of permanent competitive service at
Salary Grade 12 or higher and:

Eligible for transfer under Section 70.1: Permanent competitive service as an Office Assistant 3, Office Assistant 3 (Calculations),Accountant Aide, Program Aide, Business Document Specialist 3, Data Processing Clerk 3, Legal Assistant, Payroll Examiner 3, Office Assistant 3 (Human Resources), Administrative Assistant 2 (formerly Secretary 2). Also any language parenthetic for the above titles.
