Job Specifics

Duties Description • Utilize computers for basic record keeping, including timesheets, work orders, calendaring, and data entry.
• Survey the site as requested (ex., signage, workstations, offices) to assess janitorial needs and/or repairs.
• Assist in enforcing state building codes, safety protocols, and regulations.
• Coordinate deliveries and place items into inventory.
• Operate motor vehicles and maintain a valid driver’s license.
• Travel within the assigned region to multiple NYSIF facilities.
• Oversee fleet vehicles, including periodic driving in NY, ensuring manufacturer recommended mechanical maintenance and janitorial upkeep are completed.
• Understand and carry out written and oral instructions.
• Set up, organize, and perform light cleaning of meeting and event spaces to support scheduled activities.
• Provide excellent customer service when interacting with staff and tenants.
• Monitor the property services mailbox for employee requests, notes, and complaints.
• Help develop, coordinate, and implement Standard Operating Procedures (SOPs) and protocols as needed.
• Update seating charts.
• Coordinate the physical movement of current or new staff throughout the building and collaborate with Administration, Human Resources, and ITS.
• Perform physical tasks, including lifting up to 40 lbs.
• Assist with moving equipment and supplies in and out of the facility and/or storage areas.
• Move furniture and equipment as part of custodial functions.
• Organize storage rooms and restock supplies.
• Perform various maintenance duties to ensure facility operations meet health and safety standards.
• Perform hands on field work as directed.
• Attend and complete required training.
• Mailroom support.
• Complete other duties as assigned.
• Evening and weekend support as needed; occasional overtime may be required.

Minimum Qualifications For appointment via NY HELPS:
• Four years of experience* managing an occupied commercial building with a gross square footage of at least 50,000 or a complex of occupied buildings totaling at least 150,000 square feet. This experience MUST include direct responsibility for building maintenance (including HVAC), minor building rehabilitation, and at least one of the following three areas of expertise: grounds maintenance, security and access control, or cleaning oversight including sanitary requirements and inspection.

*An associate degree may substitute for two years of specialized experience; bachelor's degree may substitute for four years of specialized experience.

• Reinstatement: Candidates who have held Public Buildings Manager 1 title, or a transferable title, may be eligible for consideration for reinstatement.

This position requires occasional travel, you are required to maintain a valid driver’s license while employed in this position.

For candidates new to NYS, the starting salary for this position will be the bottom of the range displayed and is not subject to negotiation. For candidates that are current NYS employees, salaries are calculated in accordance with NYS Civil Service Law, OSC Payroll rules and regulations, and negotiated union contracts.

NY HELPS Program:
This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.
